Introduction

Every project depends on people — clients, suppliers, team members, managers, and sometimes even external organizations. Each has a different level of power and interest in your project’s outcome. Managing them effectively means understanding who they are, what they expect, and how to communicate with them.

To make this easier, we’ve created a free Stakeholder Register Template in Excel that combines three essential tools:

  1. a structured stakeholder list,

  2. a Power–Interest Grid,

  3. and a recommended engagement strategy.

This simple, flexible sheet helps you map relationships and build alignment from day one.

Understanding the Stakeholder Register

  • The stakeholder register is your project’s social map. It lists everyone who can influence or be affected by the work.Typical fields include:

    • Name / Role

    • Organization

    • Power and Interest Level

    • Engagement Status (current and desired)

    • Communication Approach

It’s a living document — something you update regularly as relationships evolve. Excel keeps it clear and adaptable without needing special software.

Power–Interest Grid: Seeing the Big Picture

Once stakeholders are listed, the next step is visualization. The Power–Interest Grid helps you quickly identify priorities:

  • High Power / High Interest → Manage Closely

  • High Power / Low Interest → Keep Satisfied

  • Low Power / High Interest → Keep Informed

  • Low Power / Low Interest → Monitor

By plotting stakeholders on this matrix, you can balance your time and attention where it matters most.

Engagement Levels: Turning Insight into Action

Knowing where stakeholders stand is useful; knowing how to move them toward better collaboration is essential.

Our Excel sheet includes recommended engagement levels, from Unaware to Leading, helping you track progress over time.

It’s not just data — it’s a communication plan you can refine as the project grows.

Why Excel Works

Excel remains a reliable companion for project managers:

  • Simple: no need for extra licenses or complex tools.

  • Flexible: adaptable to any project type or size.

  • Visual: easy to turn data into charts or dashboards.

The Casaltech template combines all three, so you can move seamlessly from identification to strategy and follow-up.

Free Excel Templates

To support project teams, we are sharing two Excel templates that we use in real projects. They are simple, practical, and aligned with PMI® best practices.

Each file is ready to use, with dropdown menus, status tracking, and basic conditional formatting. You can adapt them to your project size and complexity.

How to Use It

  • List your stakeholders with their role, organization, and influence level.

  • Assign Power and Interest scores (e.g., High, Medium, Low).

  • The template automatically places each stakeholder in the Power–Interest Grid.

  • Define desired engagement — how involved you want each person to be.

  • Review and update the register at each major project milestone.

The file includes embedded formulas and color coding to help you keep information clear and consistent.
